Recently the Ortho Infusion team set out on a road trip to Asheville, NC to spend time with Dr. Jeff Roeder and the amazing team of Roeder Orthodontics. OI began collaborating with Dr. Roeder earlier this year to design and develop a new website. This project quickly grew even more than Dr. Roeder or the OI team realized it would! Dr. Roeder and his two talented treatment coordinators, Christy and Kim, wanted to infuse even more excitement into their already upbeat, friendly and expressive practice. Their goal was to see that their observation/recall patients become priority as these patients are vital to the success and growth of any orthodontic practice. The team made the wise decision to start an orthodontic kids club specifically designed to provide value to these patients, and give them more reason to keep their growth and guidance appointments, and also give them the opportunity to fully understand why this stage of their treatment is so important, which in return will raise the conversion and acceptance rates when the time arrives for braces. We wanted this club to accurately reflect not only Dr. Roeder’s warmth and genuine, fun approachability, but also his wonderful team of orthodontic assistants, treatment coordinators and administrative staff. His club name, logo and mascot were custom- designed to fit his practice philosophy and fun personality, and club materials and welcome packets have been put together so that the club members have something they can see, feel and earn as part of an exclusive group. We also want to stress to these patients that they are not simply waiting to begin treatment, but that ultimately their overall treatment plan actually begins today as we are monitoring their growth and development to determine the most accurate timing to initiate active treatment. The goal is to not only retain existing growth and guidance phase patients, but to create a buzz in the community that will have kids asking their parents when do they get a chance to go see Dr. Roeder to get into the club, just like their friends have. We re-worked and reorganized their entire recall system so that it is managed more efficiently, and with more accountability. We worked with team members to develop consistent impact phrases and words that can be used to further educate the parents and patients about this stage of treatment. Everyone gets in on the fun with this new club! We also put protocol and procedures in place that involve the entire orthodontic team so that all staff members know their role in implementing this new club system. Already they are reporting a higher percentage of these patients keeping their appointment s! Their “Roeder Rookie” club officially launches this July at a unique kick-off event to be held at an Asheville Tourists’ baseball game, and we have no doubt that this winning team is ready to hit a grand-slam and knock this one right out of the park.
